Title: Coordination Assistant


Grade: Service Contract, SB Level 4, peg 1 


Duty Station: UNESCO Beijing Office, China


Duration: 12 months (extendable)


Closing Date: 23 July 2021



Duties and Responsibilities


Under the authority and direct supervision of the Director of UNESCO Beijing Office, the incumbent shall provide coordination assistance, and carry out the following duties and responsibilities:


Draft concept notes, proposals and project documents for inter-sectoral initiatives, under the direct supervision of the Director and in close collaboration with programme units; 


Assist in coordinating UNESCO Beijing Office’s contribution towards the development of Common Country Analysis (CCA) and United Nations Sustainable Development Cooperation Framework (UNSDCF) by liaising with five programme units within UNESCO Beijing Office and Resident Coordinator Offices in the five cluster countries;


Consolidate inputs received internally and externally to prepare solid briefing, talking points, speeches, presentations, and inputs to office publications;


Coordinate with Director’s Office for invitations from Chinese Ministry of Foreign Affairs and Director’s participation at these events;


Coordinate interview requests and assist with raising visibility of UNESCO Beijing Office through website updates, social media and press releases etc.


Provide administrative support to Director’s Office, e.g. scheduling appointments of visitors, preparing meeting documents, keeping track of mail box and fax, documentation and filling, travel arrangements, and other necessary backup;


Undertake any other assignments requested by the Director.



Requirements 


Two years working experience with advanced university degree (Master’s degree or equivalent degree) in education, culture, natural sciences, social sciences, communication, International Relations or other related fields. A first-level university degree (Bachelor’s degree or equivalent) in combination with two additional years of qualifying experience may be accepted in lieu of the advanced university degree;


Previous experience in writing proposals and basic understanding of the administration of UNESCO is considered as a plus;


Required qualities include accuracy, tact, courtesy, flexibility, willingness to take initiative, team spirit and strong communication skills;


Fluency in English and Chinese (oral and written);


Excellent computer skills e.g. Microsoft Word, Excel and PowerPoint.
